Aplos pricing starts at $79 a month for Lite, $129 a month for Core and $229 a month and up for Advanced, with a Custom tier quoted for larger organizations. Lite and Core include 2 users, Advanced includes 3. Every plan includes bank reconciliation, and there is a 15-day trial with no credit card. For most churches the real decision is Lite against Core, and it comes down to whether you need payables, budgeting and period close.
The figures here were read from the Aplos pricing page in September 2026. Several review sites still list Advanced at $189 a month, which is out of date. Aplos also runs seasonal promo codes for new customers that cut the first few months, so the price at checkout can be lower than the list price for a short while. Budget against the list price.
How much does Aplos cost per month?
Four tiers, three with a published price.
| Plan | List price | Users | Best for |
|---|---|---|---|
| Lite | $79 per month | 2 | Small churches and nonprofits with simple books |
| Core | $129 per month | 2 | Growing teams that pay bills, invoice and close periods |
| Advanced | From $229 per month | 3 | Organizations with $250K or more in annual revenue |
| Custom | Quoted | Custom | Organizations with $1 million or more in annual revenue |

Over a year that is $948 for Lite, $1,548 for Core and at least $2,748 for Advanced before any promo. Advanced is described by Aplos as a starting price for a customized plan, so expect the final figure to come out of a demo call.
What is included in Aplos Lite, Core and Advanced?
Each tier includes everything in the one below it.
| Feature | Lite | Core | Advanced |
|---|---|---|---|
| Balance sheet and income statement by fund | Yes | Yes | Yes |
| Bank reconciliation | Yes | Yes | Yes |
| Custom reports and board portal | Yes | Yes | Yes |
| 1099 management | Yes | Yes | Yes |
| Basic budgeting | No | Yes | Yes |
| Accounts payable and receivable | No | Yes | Yes |
| Recurring transactions and period close | No | Yes | Yes |
| Third-party integrations, user roles and permissions | No | Yes | Yes |
| Budgeting by fund, grant, department or project | No | No | Yes |
| Dimensional budgeting and reporting | No | No | Yes |
Custom plans can add income and expense allocations, fixed assets, bill approval, more dimensions and more users.
The line that trips people up is period close. On Lite there is no formal period close, so a finance committee that wants last month locked once it is reported leans on the bank reconciliation, which locks cleared transactions when you finish it. That works for many small churches. If your treasurer and a bookkeeper both post entries, the user roles on Core are worth the extra $50 a month on their own.
Which Aplos plan does a small church need?
| Your situation | Plan that fits | Why |
|---|---|---|
| One checking account, a treasurer, offering and a few bills | Lite | Fund reports and bank reconciliation are all you use |
| A part-time bookkeeper pays bills and the pastor approves | Core | Payables, user roles and period close |
| Building campaign or grants tracked against their own budgets | Advanced | Budgeting by fund or grant |
| Several campuses or departments reported separately | Advanced | Dimensional reporting |
| Allocations across programs, fixed asset schedules for an audit | Custom | Allocations and fixed assets are only on Custom |
Churches that outgrow Lite usually do so for one reason: a second person starts entering transactions and the treasurer wants to control who can change what. Budget by fund is the other trigger, typically when a capital campaign starts and the board wants to see spending against the pledge total.
What costs extra on top of the Aplos plan?
The subscription covers the accounting. Several things sit outside it.
Other Aplos products. Payroll, the CRM, fundraising tools and bill approval are listed as separate products on the Aplos site. Bill approval appears as a Custom tier inclusion.
Services. Aplos sells church bookkeeping, nonprofit bookkeeping and implementation help as services. Prices for those are not published, so ask during the demo if you plan to hand the books off.
Getting history in. This is the cost most budgets miss. Aplos Bank Integration typically reaches back only 30 to 90 days when you connect an account. If you start Aplos in October and want the whole fiscal year in one system for the year-end reports, January through the summer has to come in through the Manual Import tool as a spreadsheet. Your bank gives you those months as PDF statements. Retyping them is hours of volunteer time per account; converting them is a few minutes. The Aplos bank statement converter page shows how a PDF statement maps onto the Aplos import template, column by column.
Reimbursements. Staff and volunteer reimbursements usually start as a pile of paper receipts, and a church that pays a lot of them may already use an expense tool that reads receipts and codes each one before the totals are posted to Aplos as journal entries.
Aplos vs QuickBooks Online pricing for churches
The comparison most treasurers run is Aplos against QuickBooks Online. QuickBooks has no fund accounting, so churches use class tracking to stand in for funds, and class tracking needs the Plus plan or above.
| Aplos Lite | Aplos Core | QuickBooks Online Plus | |
|---|---|---|---|
| List price | $79 per month | $129 per month | $140 per month |
| Fund accounting | Built in | Built in | Classes as a substitute |
| Users included | 2 | 2 | 5 |
| Bank reconciliation | Yes | Yes | Yes |
| Bank feed history on connect | Typically 30 to 90 days | Typically 30 to 90 days | About 90 days |
QuickBooks Online list price after the August 2026 increase. Eligible nonprofits can buy discounted QuickBooks through TechSoup.
On list price Aplos Lite is the cheaper of the two, and it reports by fund without workarounds. QuickBooks wins on users and on the size of its accountant network. Both leave you with the same job for older months: PDF statements that need to become a spreadsheet. Our nonprofit bank statement converter page covers the QuickBooks side of that.
Is there a way to try Aplos before paying?
Yes. Aplos offers a 15-day trial with no credit card required. Use it to load one real month: connect one account through Bank Integration, import one older statement through the Manual Import page, and run a bank reconciliation to 0.00. If that month goes smoothly, the rest of the year will too. Before the trial clock starts, have your chart of accounts and fund list ready, because the import template pulls both from your Aplos setup.
If you want to see what a converted statement looks like before you commit to the import, run one PDF through our one-time 15 page demo. Once you are loading a year of statements across several accounts, BankXLSX Starter is $49 a month, or $24 a month billed yearly, for 2,500 pages, and Plus adds bulk upload of 50 statements at once. See bank statement converter pricing for both, and our guide to categorizing bank transactions for a nonprofit for coding the rows before they reach Aplos.
Frequently asked questions
Is Aplos cheaper than QuickBooks for a church?
On list price, yes. Aplos Lite is $79 a month with fund accounting built in, while QuickBooks Online Plus, the tier with class tracking that churches use in place of funds, is $140 a month. QuickBooks includes more users, and eligible nonprofits can buy it at a discount through TechSoup.
What is the difference between Aplos Lite and Core?
Lite covers fund reports, bank reconciliation, custom reports, the board portal and 1099s for 2 users. Core adds basic budgeting, accounts payable and receivable, recurring transactions, period close, third-party integrations and user roles and permissions, for $50 more a month.
Does Aplos have a free trial?
Yes. Aplos offers a 15-day trial with no credit card required. Load one real month during it: connect a bank account, import an older statement through Manual Import, and reconcile to 0.00, so you know the monthly routine works before you pay.
Can Aplos import old bank statements?
Not as PDFs. Bank Integration typically reaches back 30 to 90 days, and older months come in through the Manual Import tool as an Excel file built on the Aplos transaction template. Convert the PDF statements to Excel first, then move Date, Payee and Amount into the template.
Is Aplos Advanced really $189 a month?
Not any more. Some review sites still show $189, but the Aplos pricing page lists Advanced at $229 a month and describes it as a starting price for a customized plan. Confirm the final figure in the demo call.
