Wells Fargo lets you download account activity into Quicken, QuickBooks Web Connect or a spreadsheet, but the default range is only the last 90 days and the bank says up to 18 months "may be available" if you widen the date range first. Statements are a separate archive: up to 7 years online for deposit accounts, but only about 2 years for credit cards, home equity lines and personal loans. Anything past the download window exists only as a PDF, so converting the statement is how those months reach a spreadsheet with the running balance attached.
Upload a Wells Fargo PDF above and you get Posted Date, Description, Check Number, Reference, Debit, Credit and Balance columns as XLSX or CSV, usually in under a minute per statement.
The download screen and the statement archive are two different things with two different limits, and the limits are not the same across account types.
| Where you get it | Format | How far back | Running balance |
|---|---|---|---|
| Download Account Activity, default | Spreadsheet (CSV), Quicken, QuickBooks Web Connect | Last 90 days | No |
| Download Account Activity, extended range | Same three formats | Up to 18 months may be available | No |
| Online statements, deposit accounts | PDF statement per month | Up to 7 years | Yes, printed on the statement |
| Online statements, credit card or home equity line | PDF statement per month | Up to 2 years only | Card statements print no running balance |
| This converter, from those PDFs | XLSX or CSV | As far back as your PDFs go | Yes, carried into a column |
Wells Fargo's own guidance is that 90 days is the default and 18 months "may be available", with the wording left deliberately soft, so treat 18 months as a ceiling rather than a guarantee. To reach past 90 days you have to widen the timeframe on the Account Activity page first and then open the download screen. Doing it the other way round quietly gives you 90 days.
The 2 year limit on card and home equity statements is the one that catches people out. A deposit account gives you seven years to come back to; a Wells Fargo credit card does not. If you may ever need those months for taxes, an audit or a loan file, download and convert them while they are still there.
Most people converting a Wells Fargo statement hit one of two walls: the month they need is older than the download reaches, or the export has no balance column and the reconciliation ties to a balance. The statement PDF answers both, because it is the only Wells Fargo document that carries the full period and the balances together.
Rebuilding a Wells Fargo statement in a spreadsheet by hand fails in the same four places every time:
None of that is a flaw in the statement. Wells Fargo typesets it to be read by a person, with checks paid listed as their own block because that is how a business reviews them. The trouble only starts when you flatten it into one row per transaction, which is what a spreadsheet needs.
The checks paid block is the part that separates a Wells Fargo statement from most others:
Checks are listed with their serial number and paid date, often in multiple columns across the page to save space. Read naively, that block turns into scrambled numbers. Read properly, it is the most useful part of the statement, because check number is what an accounts payable ledger matches on.
Business statements add wire detail, deposited item breakdowns, Positive Pay exception activity and an account analysis section for monthly service charges. Those lines are exactly what a 90 day spreadsheet pull leaves out, and they are the ones an accountant has to code at month end.
Everyday Checking, Prime Checking, Way2Save, Initiate Business Checking, Navigate Business Checking and Wells Fargo card statements are each read on their own layout, including the checks paid block.
Every file lands as Posted Date, Description, Check Number, Reference, Debit, Credit and Balance. Wrapped descriptions are rejoined onto one row and the running balance is carried across wherever the statement prints one.
Statements that came back as scans or phone photos, common with older mailed months and with loan files assembled by someone else, go through OCR rather than being rejected.
The most common reason people land here. The books are a year or more behind, the download tops out at 18 months at best, and the rest of the history is sitting in the statement archive as PDFs.
Checks paid, wires, deposited item detail and account analysis fees are exactly what a short export drops. Converting the statement keeps the check numbers that accounts payable matches on.
Underwriters ask for statements rather than exports because a statement shows beginning and ending balances. Converting the same PDFs you submitted gives you a spreadsheet that ties to the document on file.
Any tool that reads a PDF is reading a layout, not a data feed, so accuracy depends on the file. These are the cases worth checking by eye:
Comparing the first row, the last row and the ending balance against the PDF takes half a minute and is what makes the rest of the work trustworthy.
Sign in on a desktop browser and open Statements and Documents. Save every month you need. This is the archive that reaches seven years on a deposit account, unlike the 90 day download.
Drop one file or a batch into the converter at the top of this page. Personal, business and card statements can go in together, since each is read on its own layout.
Compare the first and last rows and the ending balance with the PDF, and spot check a few check numbers. Thirty seconds here is what makes the reconciliation trustworthy.
Take XLSX if the file is going to a person and CSV if it is going into accounting software. Both carry the same columns.
For recent months, sign in on a desktop browser, widen the timeframe on the Account Activity page, then choose Download Account Activity and pick the spreadsheet option. That gives you 90 days by default and up to 18 months if the extended range is available. For anything older, download the statement PDF and convert it with the tool at the top of this page, which also brings the running balance across.
Ninety days by default, and Wells Fargo says up to 18 months may be available if you set the extended timeframe first. Statements go back much further: up to seven years online for deposit accounts, but only about two years for credit cards, home equity lines and personal loans and lines of credit.
Not as an Excel file. Statements download as PDFs, and the activity export offers a spreadsheet, Quicken or QuickBooks Web Connect file. To get a real XLSX workbook that keeps dates, check numbers, descriptions, debits, credits and balances in separate columns, convert the statement PDF instead of exporting.
Because the export is a transaction list, not a statement. It carries dates, descriptions and amounts with no beginning balance, no ending balance and no running total. If your reconciliation ties to a balance, you need the statement itself, which means converting the PDF.
They come from the statement, not the export. Wells Fargo prints checks paid as their own block with serial numbers and paid dates, and a converted statement puts those into a dedicated Check Number column. That is what accounts payable matches on, so it matters more than the description text.
Everyday Checking, Prime Checking, Premier Checking, Way2Save and other savings accounts, Initiate and Navigate Business Checking, and Wells Fargo card statements including Active Cash, Autograph and Bilt.
Yes, wherever the statement prints one. Deposit statements carry a running balance into its own column. Card statements do not print one, so no balance column is invented for them.
Yes. The checks paid block is read as check number, paid date and amount rather than as free text, which is the part a general purpose PDF to Excel tool usually scrambles.
Yes. Every conversion can be taken as XLSX or CSV with the same columns, so the same file works for a colleague and for an accounting import.
Yes. Scans and phone photos go through OCR. Accuracy depends on the scan, so check the preview against the statement before you rely on it.
Yes. Upload a batch and each statement is read separately, which is the usual way people rebuild a year or more of books that the download cannot reach.
Yes. The download screen offers QuickBooks Web Connect alongside Quicken and a spreadsheet. What it does not offer is depth, so a QBO file will not reach a month that is outside the activity window.
Business statements print monthly service charges and earnings credit in their own section. Those lines are read as transactions so the fees appear in the workbook rather than being silently dropped.
Bank with more than one institution? The bank statement converter handles every US bank format from a single upload. If you just need a clean spreadsheet, the PDF bank statement to Excel converter outputs an XLSX with the same date, description, debit, credit, and balance columns, and the PDF bank statement to CSV converter covers any software import. If the converted rows still need coding, categorize transactions from a bank statement covers that step, and QuickBooks Desktop users can check what the bank statement QBO format requires. Also holding a Chase or Capital One account? Use the Chase statement to Excel converter or the Capital One statement to Excel converter.
