Sign in to BMO Digital Banking, open the account, and you'll find two separate things: PDF statements under the statements or documents area, and a download or export control on the account activity screen that produces a file of transactions. The statement PDFs are the official record, month by month, with the exact ending balances an auditor or lender wants. The activity export is the working file, offered as CSV and, on card accounts, in QuickBooks and Quicken friendly formats. How far back each one reaches depends on the account and on when it moved onto BMO's platform, which is where most of the frustration comes from.
How do I download BMO bank statements?
Sign in to BMO Digital Banking, select the account, and open the statements or documents section for that account. Statements are listed by period as PDFs, one per statement cycle, and you download them individually. If you're still receiving paper, the same screen is where you switch to eStatements, which is also what turns on the online archive going forward.
How do I export BMO transaction history to CSV?
Open the account, find the download or export control on the transactions list, choose a date range, and pick your format. BMO offers CSV for spreadsheet work, and for credit card accounts the export menu also lists QuickBooks and Quicken formats. Export in slices rather than one giant range, and note the last date you pulled so the next export starts the following day.
Which format should a bookkeeper pick?
CSV if you're going to check, clean, or recategorize the data before it hits the ledger. The QuickBooks or Quicken option if you want the transactions to land directly in the register with less handling. The tradeoff is visibility: a direct format import gives you fewer chances to catch a mislabeled or duplicated line before it's posted.
| What you can get | Best for | Limitation |
|---|---|---|
| PDF statement | Audit trail, lender packages, proving ending balances | Not machine readable until you convert it |
| CSV activity export | Cleaning, categorizing, spreadsheet review | Limited date range, no statement level balances |
| QuickBooks or Quicken format | Getting card activity straight into the register | Offered on card accounts; less room to review first |
| Converted PDF | Closed accounts and periods no longer online | Needs a totals check against the statement |
How far back does BMO transaction history go?
Less far than most people assume, and it varies by account type. The online activity list typically covers a rolling window of recent months, while eStatement PDFs are archived for a longer period. Rather than guessing, open the account and look at the oldest available statement date. Anything earlier than that has to be requested from the bank, usually for a fee per statement.
This is why I tell clients to download statements on a schedule instead of on demand. The month you need a four year old statement for a loan application or an IRS notice is exactly the month you discover it aged off the site. A standing habit of pulling the PDF and the CSV together every month, into a folder per account per year, costs a few minutes and eliminates the problem permanently.
Who is BMO Bank N.A. and what happened to BMO Harris?
Same bank, new name. BMO Harris Bank, N.A. was legally renamed BMO Bank N.A. in September 2023, part of retiring the Harris brand in the US. Around the same time BMO absorbed Bank of the West, which it acquired in February 2023 and converted onto BMO's systems over Labor Day weekend that September. Two of those events landed within days of each other, which is why so many US business accounts have a hard break in their records right around September 2023.
Why did my BMO bank feed stop working after the migration?
Because the account moved to a different institution record. Former Bank of the West accounts stopped updating on the old connection after the conversion in early September 2023, and QuickBooks or Xero users had to disconnect and reconnect to the BMO institution. Feeds set up before the migration frequently broke, and reconnecting rarely backfilled the gap.
What about the transactions that never came through?
They have to be imported by hand. This is the most common BMO cleanup job: a company file with a clean history up to the conversion date, a gap of several weeks or months around it, and clean data after the new feed was established. The bank feed will not go back and fill that hole. The fix is to pull the statement PDFs covering the gap, convert them to rows, and import the missing period, then reconcile each month against the statement's ending balance so you know nothing is duplicated or missing. A BMO bank statement to Excel converter handles the extraction; a PDF bank statement to Excel converter does the same for the other institutions in the file.
What about closed BMO accounts?
Once an account is closed, online access to it usually goes away with it, and that includes the statements. If a client is closing a BMO account, or moving banking elsewhere, download every statement first. If the account is already closed, the bank can produce copies on request, generally for a per statement fee and with a wait. Whatever comes back will be PDFs, so plan on converting rather than exporting.
What a bookkeeper does with a forwarded BMO PDF
Most of the BMO statements crossing my desk arrive as email attachments from a client who has no interest in setting up delegate access. The workflow doesn't change much:
- Save the PDF into the account and year folder before touching it, so the source of record exists independently of any accounting system.
- Convert the statement to rows and check the extracted total against the statement's own deposits and withdrawals totals.
- Confirm the opening balance ties to the prior month's closing balance. A gap here means a missing statement, not a conversion error.
- Reduce the file to the columns your accounting system reads, then categorize the transactions before importing rather than in the review queue.
- Import, then reconcile the month to the statement's ending balance and lock the period.
For firms handling this across a lot of clients, the batching approach on the bank statement converter for bookkeepers page saves more time than any single trick, since the same five steps run for every account every month. If the destination is QuickBooks and you'd rather skip the spreadsheet entirely, you can also turn the statement straight into a QuickBooks ready file, which carries transaction IDs and lets the duplicate check do its job. The QBO file format page explains what that file contains and when it beats a CSV.
The short version
BMO Digital Banking gives you PDF statements and a dated activity export, with CSV plus QuickBooks and Quicken options on card accounts. History online is finite, and the 2023 rename and Bank of the West conversion left a lot of US files with a gap right around that September. Download statements monthly, keep them, and when history is already gone, convert the PDFs and reconcile each month against the printed ending balance.
