How do accountants get transactions out of a PDF bank statement?

Three ways, in descending order of how much of your afternoon they cost. Retyping from the PDF is accurate only while attention holds. Copying and pasting into Excel usually breaks the columns, because a statement is laid out for reading rather than for a grid. Converting the PDF directly gives you dated, described, signed rows plus a running balance, which is the only version that can be tied back to the statement.

Is a converted bank statement accurate enough for workpapers?

It is if you can prove completeness, and that is a property of the file rather than of the vendor. Keep the running balance as a column. Opening balance plus credits minus debits should equal the closing balance printed on the statement. How do I handle a client with several banks?

Convert each account separately and keep them separate through the close. Statement layouts differ by institution, so a merged file hides which account a row belongs to and makes the balance check impossible to run per account. Once each register foots on its own, combining them for analysis is safe. Doing it in the other order is where reconciliations go wrong.

What if the client only has scanned statements?

Scans are common in catch-up work, because the client is often photographing paper the bank mailed years ago. A text-based PDF can be parsed directly; an image has to be read with OCR first. Which format should the export be in?

Excel when a human is going to review, sort and annotate the rows, which covers most workpaper use. CSV when the destination is another system and you want no formatting to travel with the data.
